About the Role
As our Administrative Receptionist, you’ll be the welcoming face and friendly voice of the Children’s Trust. You’ll create a warm, professional first impression for all who visit or contact our office, while keeping daily operations running smoothly. This role is perfect for someone who enjoys helping others, multitasking, and maintaining an organized, positive work environment.
What You’ll Do
- Be the First Point of Contact: Greet visitors, clients, and team members with professionalism and care.
- Coordinate Communications: Answer and direct calls, emails, and messages to the right departments.
- Support Daily Operations: Schedule appointments, maintain calendars, and assist with meeting room logistics.
- Assist with Fiscal Tasks: Help process invoices, communicate with vendors, and maintain receipt logs.
- Manage Mail and Supplies: Handle incoming and outgoing mail, courier deliveries, and office supply inventories.
- Keep Things Running Smoothly: Ensure the front office and reception areas are tidy, organized, and welcoming.
- Provide Excellent Customer Service: Respond to inquiries promptly and accurately.
- Assist with Events: Help set up and support community meetings and trainings, occasionally during evenings or weekends.
What You Bring
- A high school diploma or equivalent (bonus points for admin or customer service certifications).
- Minimum of 3 years of office administration or office reception experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience managing shared calendars and conference room scheduling.
- Proven track record of task management, scheduling, and attention to detail.
- Strong written and verbal communication and comprehension skills; ability to handle internal and external correspondence professionally.
- Demonstrated punctuality, follow-through, and accountability in previous roles.
- Calm, friendly, professional demeanor with the ability to maintain confidentiality and composure.
- Strong capacity to prioritize tasks, manage time efficiently, and maintain accuracy.
- A team-oriented mindset and a passion for serving your community.
- Bonus: Experience supporting executive leadership; familiarity with event prep and facilities coordination.

Work Environment
This is an in-office position based in Gainesville, FL. Occasional evening or weekend hours may be required for community events or meetings.
